INVITATION TO SUBMIT REQUEST FOR PROPOSAL (RFP) 100TH ANNIVERSARY COMMEMORATIVE SET BADGE/COIN/LAPEL PIN 

The Arizona Association of Chiefs of Police invites your business to submit a sealed proposal for the 100th Anniversary Commemorative Set including a badge / coin / lapel pin as described in the accompanying specifications.

One original and one copy of the proposal must be submitted in a sealed envelope to Executive Director Jan Strauss at the Arizona Association of Chiefs of Police by no later than 2:00 p.m. PST, July 16, 2010. Any proposal received after that time shall be rejected.

Questions shall be submitted in writing by electronic mail. Questions and responses will be posted by the Association's web site at www.azchiefsofpolice.org.

The Association reserves the right to reject any and all proposals, to waive irregularities, and to award that proposal which is deemed to be in the best interests of the Arizona Association of Chiefs of Police

Scope of Project:

The Arizona Association of Chiefs of Police supports the mission of the Arizona Centennial Commission in preparations for a statewide celebration. As such, the Arizona Association of Chiefs of Police is looking for a Vendor to provide a 100th Anniversary Commemorative set to include a badge, coin and lapel pin.

As part of your proposal, you must include at least three references for similar type work being performed. We will need the agency name and address, contact person, their title, phone number and e-mail address. You are also required to submit detailed and itemized price lists with information on all services that you are qualified to provide. Price lists must include costs beginning at a quantity of 500 to 10,000 pieces per set. Cost breakdown should be by quantities of 500 per set.

Criteria for Award of Bid:

The criteria for award of this bid will be based upon a compete analysis of each bidder's response. Specifically, each bid will be judged on its overall ability to meet the requirements and established schedule as outlined in this bid. Further, the bidder's ability to service an order of this size and the proven references of a similar agency will also be part of the evaluation process. Finally, the overall price will be evaluated. The weighted percentage of each category's impact on the overall bid scoring is as follows:

The Association has the right to reject any or all proposals. During the evaluation process, the Association has the right to request additional information and presentations for clarification in order to understand the Vendor's approach to the scope of work. The Association further reserves the right to make an award without further clarification of the proposals reviewed. Any changes to a submitted proposal made before executing the contract will become part of the final Vendor contract.

The Association reserves the right to make adjustments to the above noted schedule as necessary. The selected vendor will be expected to enter into a contract with the Arizona Association of Chiefs of Police within 30 days after notice of award.

Questions:

There will not be a required pre-submittal meeting for this request; however, Vendors may contact the Association for clarification and information pertaining to this request for proposal. Any requests for information n or clarification must be submitted in writing by e-mail to Executive Director Jan Strauss at jan@azchiefsofpolice.org before June 10, 2010 at 5:00 p.m. No oral questions will be answered.

Written responses to all questions will be posted on the Association web site for this RFP as well as being sent directly to the person making the inquiry. The Association web site is www.azchiefsofpolice.org

Late proposals and proposals sent by facsimile or e-mail will not be accepted. Postmarks will not be accepted.
